Quick Workflow

  1. Run the Google Reviews report in Kickserv.

  2. Paste the report data into the Import tab (starting at A3) in the Google Review Tracker.

  3. The system automatically updates the Outreach tab with eligible clients.

  4. Send review request texts according to the Status column schedule (Day 1 / 15 / 30) and check the corresponding boxes.

  5. When a client leaves a review:

    1. Respond to client in Google
    2. Add the review to the Master tab of Tracker, and

    3. Update the Google Review flag in Kickserv.

Purpose

To ensure consistent and timely outreach to clients requesting Google reviews after service completion. This process standardizes how review requests are generated from Kickserv, tracked through the Google Review Tracker, and recorded once a review is received, while preventing duplicate outreach to the same client.

When this Applies

This process applies after service jobs are completed and appear in the Google Reviews Kickserv Report. It is used whenever new report data is imported into the Google Review Tracker to identify clients eligible for review outreach.

Staff should follow this process whenever running the Google Reviews report, sending scheduled review requests (Day 1, Day 15, Day 30), or recording new Google reviews received from clients.
